Title/Grade: Property Manager (E)

Reports To: Director of Property Management

Basic Function: Responsible for care and custody of a specific portfolio of properties. Primary responsibilities include property maintenance, lease enforcement, maintaining positive tenant relations, contract negotiations and administration, budget preparation and implementation. Other duties include space preparation and coordination of move-in of new tenants, regular reporting to Owners on tenant and property status, development and maintenance of a reliable working list of contractors and vendors needed to perform one time and ongoing maintenance and/or new construction. (Level or responsibility to be determined by Director of Field Management).

Experience/Education: Must have a minimum of 3 years related experience and

a Bachelors’ degree from a 4-year university.

Specific Skills Required: Excellent time management skills. Must be well versed in Microsoft Office Suite and Yardi, with some proficiency in Finance and Accounting. Strong communication skills both written and verbal. Exceptional customer service skills. Construction experience is a bonus.

Job Requirements:

Valid drivers license with statutory insurance coverage and a driving record that indicates consistent responsible operation of a motor vehicle. Position requires the daily use of employee’s car for travel to and from various locations. Employee will be reimbursed for the cost of said travel in an amount to be determined by the Federal government and consistent with standard practices.

Essential Job Functions:

Tenant Services Contract for and supervise tenant improvements and space preparation prior to lease commencement. Move tenants in and out of buildings based on lease terms and approved ZRES policy. Insure timely rental payments and collections. Problem resolution. Respond to all tenant requests. Investigate nature of problem and determine appropriate course of action based on lease obligations and owners’ desires. Maintain positive tenant and vendor relations.

Property Maintenance Develop and implement an effective maintenance plan for assigned properties that enhances the leasing ability of vacant property, maintains and enhances the owner’s investment and improves tenant satisfaction with the property being leased. Regularly inspect properties to determine current and future maintenance needs as established by ZRES policy. Develop and administer budgets for assigned properties. Issue work orders, inspect and approve work completed. Approve invoices for payment. Develop and implement preventive maintenance programs. Identify, budget, bid and supervise capital expenditures.

Reporting Periodic reporting to owners as required in the property management contract. Both written and verbal with enough detail to provide client (owner) with information to make decisions and understand the operations of their investments. Thoroughly review accounting reports on a monthly basis for accuracy.

Professional Development Seek professional advancement in programs leading to industry certification, i.e. RPA, CPM, CFM. Become actively involved in local civic organizations.

New Business Development Actively seek new business opportunities for Newmark Grubb Zimmer in the areas of new property management accounts, property condition assessments or construction related jobs in tenant finish. These contacts will be developed by involvement in local business groups, business after hours, communications with Newmark Grubb Zimmer sales people and excellent new tenant relations.

Specific Departmental Functions Teamwork and Quality Improvement Work effectively as a team member supporting fellow employees and supervisors. Identify areas requiring improvement within the property management department and contribute towards their improvement.
